At Social Booth, we understand the importance of protecting your personal information and are committed to handling it with care, transparency, and in accordance with Australian privacy laws. When you use one of our photobooths, your data is collected for two primary purposes: to deliver your photo(s) directly to your email, and—having provided consent by submitting the email form—to share your email address with the host venue (e.g. Jimmy’s Superclub Berwick) for promotional or marketing use. This privacy process involves three key parties: you, the Customer; Social Booth, as the booth supplier and data handler; and the host venue where the photobooth is installed. We take a number of proactive steps to secure your data, limit its storage duration, and transfer it only through encrypted and controlled systems. Social Booth does not retain personal data for extended periods, and we enforce a strict data deletion schedule. However, once data is securely transferred to the host venue (following your consent), Social Booth cannot accept responsibility for any misuse, mismanagement, or data breaches that may occur within the venue’s own systems. See below for specific information on how data is collected, used and transferred between us and our host venues.

Social Booth Pty Ltd (“we”, “us”, “our”) is committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This Privacy Policy outlines how we collect, use, store, and share your personal information when you use our photobooths.
1. What Information We Collect
We collect the following personal information during your use of our photobooths:

a. Email address
b. Time and date of form completion
c. A series of three photographs captured during the booth session, used solely for delivering the photobooth product experience (e.g. photostrips or digital photo sets)
2. How We Collect Information
Information is collected directly from you when you use our photobooth by:

a. Reading and accepting a digital consent form
b. Typing in your email address
c. Clicking ‘Send’ to receive your photo and submit your details & consent

Your consent is required for this process and is consent is given by submitting your email address in the onscreen submission form.
3. Purpose of Collection
We collect your information for the following purposes:

a. To deliver your photo(s) directly to you via email
b. To provide your email address to the venue or client (having provided consent through email submission), for marketing and promotional purposes for the venue.
4. Disclosure of Personal Information
We may disclose customer information:

a. To the venue hosting the photobooth, having consented to the form by filling in your email address.
b. Never to any unrelated third parties for marketing, advertising, or resale.
5. Data Security and Storage
We take comprehensive steps to protect your data from unauthorised access, loss, or misuse:

a. No Local Storage: There is no local storage of email addresses photobooth device/localcomputers. All email data is stored exclusively via FotoShare’s secure, cloud-based serversuntil it is deleted inline with our privacy policy.

b. Temporary Cloud Storage: Email addresses and associated photographs are temporarilystored on FotoShare’s encrypted servers for a maximum of 135 days, to enable delivery and reporting.

c. Secure Transfer: All data files are shared with clients via encrypted ZIP archives, transmitted through two-factor authentication (2FA) protected transfer links.

d. Password Protection: Passwords for all encrypted ZIP files are securely stored using Dashlane, a password manager with two-factor authentication enabled.

e. Photos are stored locally and online via fotoshare’s secure cloud-based server until deleted.

6. Data Retention and Deletion
We retain collected data for a limited time, after which it is securely deleted. From Social Booth, none of the data is used for any purpose other than to be provided to the venue photoboothhost.

a. All data from each calendar quarter is deleted 45 days after the end of that quarter For example: Data collected from January to March will be deleted on April 15

b. All deletions are conducted using secure data destruction methods, This includes photographs stored locally on the device as well as in the cloud.

The venue you took your photo at may use customer data for its promotional and marketing purposes inline with APP’s and relevant government laws and may hold onto your marketing data unless you request to be removed.
7. Access, Correction and Early Deletion
You may request to:

a. Access the personal information we hold about you
b. Request correction of any inaccuracies
c. Request deletion of your data at any time, regardless of our retention schedule.

We will process and confirm your request within 5 business days.
8. Venue Data Handling and Indemnity
a. Once personal data has been securely transferred to the host venue (with your prior consent) and subsequently deleted from Social Booth’s systems, Social Booth Pty Ltd is no longer responsible for the handling, protection, or management of that data.

b. Social Booth takes every reasonable step to ensure that personal information is securely transmitted and deleted in accordance with this policy. However, we cannot control or guarantee the privacy practices of host venues once data has been handed over.

c. By using our photobooths and submitting your personal information, you agree to indemnify and release Social Booth Pty Ltd from any liability, claims, or damages arising from misuse, unauthorised disclosure, or data breaches that occur while your information is in the possession of the host venue.
9. Complaints
a. If you believe your privacy has been breached or mishandled, you may lodge a complaint by contacting us directly. We take all complaints seriously and aim to resolve them promptly.

b. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au
